Privacy and your data
What stays on your device, what syncs to the cloud, and exactly what happens (and doesn't) when AI photo analysis is on.
Van Line Pro produces an official legal inventory, so it's worth knowing exactly where your data lives, what leaves the device, and who can see it. This article summarizes the practical points. The full policy is the Privacy Policy and the Terms of Service, which you can read in-app under Settings › Terms of Service.
What stays on your device
- Dictation audio. When you dictate items, your speech is transcribed on your device using Apple's on-device Speech framework. Audio recordings are not sent to or stored on the servers. See Dictate items.
- LiDAR measurements are captured on-device. Scanning runs locally. The app doesn't record or save video, only the measurements and any photos you keep.
- Photos you don't add to the inventory stay local. A photo only leaves your device if you attach it to an item (which syncs it) or if AI analysis is on (see below).
What syncs to the cloud
Your account and inventory content sync so your work is backed up and available to your whole crew:
- Your email and company details.
- Inventory content you create: item descriptions, rooms, pre-existing-damage notes, signatures, and job/customer details including addresses.
- Photos you attach to items, and LiDAR room-scan measurements used to build the inventory.
This is stored in the cloud database and file storage and synced between your device and that database. Your data is company-scoped: access to a company's data is restricted to authenticated users of that company, and it's stored on servers located in the United States. See Offline use and syncing.
Note: The app does not track your location and does not use advertising identifiers, third-party analytics, or ad/tracking tools. Your personal information is not sold.
What happens with AI photo analysis
AI photo analysis is an optional, admin-only company setting that is off by default. What it does depends on whether it's on.
When AI is on:
- Item and room photos and scan data are sent to Anthropic's Claude API to suggest item names, categories, sizes, and visible pre-existing damage.
- The Privacy Policy states this data "is processed to return results to you and is not used to train Anthropic's models."
- The Terms of Service add that these suggestions "are advisory only, may be inaccurate or incomplete," and that you "must review and confirm every suggestion before it is recorded."
When AI is off:
- The Privacy Policy states: "If AI analysis is turned off, no photos or scans are sent to Anthropic." Item identification falls back to on-device Vision.

Important: No matter the setting, AI never records damage on its own. The crew reviews and confirms every suggestion first.
Other service providers
To operate the app, data is shared only with the providers that run it: Supabase (cloud database, authentication, and file storage), PowerSync (data synchronization between your device and the database), Anthropic (only when AI is on, as above), and Apple (when you search for an address, the text you type is sent to Apple's mapping service for suggestions).
Signing out clears this device
When you sign out (or delete your account), the app erases this device's offline copy of your company's data, so the next account signed in on the phone can't inherit the previous customer's files. Your data is safe in the cloud and re-syncs when you sign back in. See Manage your account and Delete your account.
