Photographing damage

Attach photos to an item as condition documentation, during a scan or in the Item Editor. Photos back up your codes and feed the inventory's condition-photos appendix.

Requires: Camera required to take new photos

A photo is the evidence behind a condition code. Van Line Pro lets you attach photos to any item, either while you scan a room or later in the Item Editor. Those photos document the piece's condition at origin and print in the inventory's condition-photos appendix, so every recorded defect has a picture to stand behind it.

Who this is for: Crew and estimators documenting a piece's condition. You'll need: Camera access to take new photos (you can also choose existing ones from your library).

Attach a photo in the Item Editor

Open an item and find the Photos & damage card.

  • Tap Take photo to shoot a new photo with the camera. (This appears when a camera is available on the device.)
  • Tap Choose photo to pick an existing image from your photo library.

New items must be saved before photos can attach, so name and save the item first.

Photograph during a LiDAR scan

You don't have to stop scanning to document a piece. On the item card floating over the live scan, tap the camera button to shoot the item's condition straight from the live view, without leaving the scan. See Scan a room with LiDAR.

Tip: Fill the frame with the defect and give it good light. A clear, close photo makes the condition obvious to anyone who reviews the inventory later.

Documentation versus AI analysis

Photos always serve as documentation. Whether they also produce damage suggestions depends on your company's AI setting, and the card footnote tells you which mode you're in:

  • AI on: "New photos are checked for pre-existing damage by AI. You review every suggestion before it's added." The app can suggest codes from the photo, which you confirm. See How AI damage suggestions work.
  • AI off: "Photos are saved as documentation. Turn on AI photo analysis in Settings to get damage suggestions." Photos are kept as evidence, and you record all damage by hand.

Photo states

Each photo row shows a short status:

  • A list of condition codes with a note, when AI analyzed it and found damage.
  • "No visible damage" when AI analyzed the photo and saw nothing.
  • "Not analyzed" when the photo hasn't been run through AI (always the case when AI is off, or before you analyze with AI on).

Photos feed the inventory

Attached photos print in the exported inventory's condition-photos appendix. When a confirmed defect is tied to a specific photo, the appendix captions that image with the defect, so the code and its evidence appear together on the legal document.

Managing photos

Open a photo row's menu (the "…" button) to:

  • Analyze for damage or Re-analyze (when AI is on).
  • Delete photo, which removes it from the item.
